Reads the correspondence
Takes incoming email and extracts the member reference where one is present.
Intelligent process automation · Fiduciary and financial services
We map one process end to end, build a working system against the step that actually costs you, and prove the value on your own data before you commit to anything. Your existing platform stays the system of record. It always does.
What we found
We expected the bottleneck to be assigning the case. It was not. The costly part happens before any productive work begins.
When a member reference is missing, the search leaves the system entirely. It moves into the inbox and into prior reports, and it can run for several minutes before anyone knows whose case this even is.
That step is unaudited. It depends on one person's product knowledge. And it is exactly where a complaint can sit unnoticed until it becomes an SLA breach.
Case allocation, as it runs today
Step 1
Correspondence arrives
Email lands in a shared mailbox
Step 2 · the expensive one
Who does this belong to?
Reference missing. Search the inbox. Search prior reports. Ask a colleague. Several minutes, no audit trail, and it depends entirely on who is doing it.
Step 3
Classify and prioritise
Work out the request type and the SLA clock
Step 4
Route to an administrator
Match to specialisation and current workload
The dashed step is the one we target first. The others are comparatively cheap.
What we built
Not a concept deck. This is AIaaP, our agentic AI platform, and it carries the work end to end. Here is precisely what it does, and nothing it does not.
Takes incoming email and extracts the member reference where one is present.
Matches the sender against known correspondents when no reference is given. This is the step that costs you minutes today.
Works out the request type and sets priority against the SLA clock automatically.
Catches the same case arriving twice before two administrators both work it.
Based on specialisation and current workload. It recommends. A person decides.
What arrived, what was recommended, who decided and why. The step that has no record today gets one.
The second half
Automation that is fast but unprovable does not help you in a regulated business. Fiducio is our second platform: an audit trail written as the work happens, cryptographic proof that a document has not changed, and verified identity for the parties to a matter.
It is being completed for commercial release and is not in production anywhere yet. Most first engagements are AIaaP alone, because that is where the measurable money is.

The offer
Most vendors ask you to believe a case study. We would rather show you what one of your own processes actually costs, using your own data, before you commit to anything at all.

Then you decide, not us
If the measurement shows the problem is smaller than we expect, we will tell you, and we will stop there. You keep the measurement either way.
Two decisions that shape everything else
We put these at the front rather than in an appendix, because in financial services they are usually the first two questions and the fastest way to lose a deal.
Principle one
The system recommends. It does not decide. POPIA requires human involvement where a decision substantially affects someone, and beneficiary fund work affects people directly.
This is not a limitation we are apologising for. Your administrators keep their judgement and gain back the time they currently spend searching.
Principle two
Identification happens locally, inside your own systems. Only de-identified text is interpreted anywhere else.
Beneficiary funds serve minors, and POPIA is strict about children's information. We designed for that constraint from the start rather than retrofitting around it.
Free tool, nothing to sign
Four numbers you already know: how many cases a month, how often a reference is missing, how long the search takes, and what an administrator hour costs you. We show the working so you can argue with it.
Worked example
800 cases a month, 35% missing a reference, 6 minutes each, R320 an hour
R107,520

Beyond the first process
We start narrow on purpose. But the pattern, reading correspondence, identifying who it concerns, classifying it and routing it with a record, repeats throughout this work.
Initial classification and triage of incoming claims against SLA.
Document intake, verification and fund administration setup.
Document extraction and matching across long running matters.
Regulatory reporting with the audit record produced as a by-product.
Relationship tracking where the records are sensitive and the parties change.
Follow ups and correspondence chasing that currently sits in someone's head.
Why us
Not general enterprise automation with a financial services page bolted on. This is the only thing we do, which is why we knew where to look for the expensive step.

Your platform stays the system of record
Timing
FSCA Conduct Standard 2 of 2025 requires structured complaints handling and proper record keeping from Section 13B administrators, with deadlines running through this year.
The workflow produces exactly that record as a by-product of doing the work. You are not buying compliance tooling. You are removing manual effort and getting the evidence trail because the system writes down what happened.
Straight answers
No, and we would advise against anyone who suggests it. Your platform stays the system of record. We work on the administrative friction around it, which is where the recoverable time actually sits. Nothing we do writes to your core system during Phase 0.
No. Work that needs a person still gets a person, and a person approves every allocation. What changes is how much of the day is spent searching rather than deciding. Teams move onto complex cases, client engagement and judgement calls.
About two hours of your team's time in total, and read only reporting access. No write access at any stage, no changes to your system, and no integration work. Within two weeks you have a measurement you keep whether or not you continue.
Member identity never leaves your environment. Identification happens locally and only de-identified text is interpreted elsewhere. This matters especially in beneficiary funds, which serve minors, where POPIA is strict about children's information.
Not yet. AIaaP is built and runs end to end, and we have engaged directly with several leading South African fiduciary institutions, which is how the product got shaped. But engagement is not a signed contract and we will not describe it as one. Phase 0 is how we earn the right to go further without asking you to take a risk on our behalf.
The company was founded in Cape Town in 2018. The first three years were spent talking to fiduciary professionals rather than building, which is slow and is the reason we know which step to target. The working platform was completed in 2024.
Then we say so and we stop. We would rather lose two weeks than build something that does not pay for itself. You still keep the measurement and a clearer view of where time goes.
Next step
No slides. We walk you through what runs today on synthetic data, then agree whether a Phase 0 measurement is worth two hours of your team's time.
